The individual that fills this position will be responsible for handling incoming calls, clients and other visitors, overseeing accounts receivable functions, ordering office supplies, building services as needed, opening and closing the reception area, making referrals as needed for immigration-related and other services, calendar maintenance, and administrative support with outbound client contact. Ideal candidates will be fluent in Spanish – verbal and written, have a high school diploma/GED and a minimum of one year clerical experience. This individual must also be proficient in MS Office applications, especially Word, Excel and Power Point.

Administrative Assistant

Responsible for assisting the Manager of Care Ministries with administrative needs and for the administrative needs of the Care Ministry Area. In the absence of the supervisor, supervises the volunteers. Responsible for record keeping and maintaining accurate financial records in WHAM's QuickBooks in accordance with the organization's policies and guidelines; maintains daily spreadsheet of pledges; process and issue all pledge check payments. Research and follow-up on any outstanding data needed in the client's files. Tracks all grants and spreadsheets related to grants, developing supporting documents required by grants to prove the utilization of the funds awarded. Negotiates with bookkeepers, landlords and utility companies to expedite pledge payments in an efficient manner. Assists with the development and updating of policies/procedures and guidelines for the Care Ministry Area.
Requirements:
Two to four years in administrative work College courses in business and sociology desirable Customer service skills Excellent public realtions skill.s Time managemand organizational skills Good written and oral communication skills Computer skills in Microsoft, Internet usage and databases.

Assist Financial Manager with bank reconciliation and financial reporting. Create payroll reports for semi-monthly payroll processing. Requirements:
