Administrative Assistant
Serve as Receptionist. Answer phones promptly and direct callers to the appropriate person. Take messages as needed when staff is not available. Provide clerical support to the staff, prepare mailing labels for bulk mail-outs. Coordinate volunteer activities. Coordinate and handle activities necessary to maintain daily functions of The Arc office including, but not limited to, inventories of all office and volunteer supplies. Assist with maintenance of all Excel Spreadsheets for the organization.
Maintain all records and documents of The Arc according to approved records retention schedule, including real property, grant information, board meetings, etc. Assist with fundraising activities including serving as liaison between the commissioner’s office, sending thank you letters and plaques.
Maintain and update the website.
Requirements:
Excellent telephone etiquette .Strong oral, written and interpersonal skills .Ability to work independently with minimal supervision and to accept direction on given assignments .Excellent customer service skills. Demonstrated proficiency in MS Office 2007 Software (Word, Excel, Outlook) .Shorthand or speed writing skill .Analytical ability sufficient to handle moderately complex administrative and accounting duties .Strong organizational skills and attention to detail .Ability to multi-task, set priorities and perform under pressure .Professional appearance.

Administrative Assistant-COO position
Provide administrative and support services to the Chief Operating Officer and to task forces and committees for which the Chief Operating Officer are directly responsible.Screen calls and visitors to the Chief Operating Officer, directing calls and visitors to proper department when necessary. Prepare typewritten reports of   the Chief Operating Officer from written sources. Coordinate all correspondence and work of the Chief Operating Officer. Establish, maintain and revise Chief Operating Officer’s work files, as requested. Make appointments and travel arrangements for the Chief Operating Officer. Make travel arrangements for staff development opportunities. Receive reports, correspondence and memoranda prepared by others for Chief Operating Officer’s signature to ensure procedural and typographical accuracy. Provide support staff services to Committees and other Task Forces as assigned.
Requirements:
Bachelor degree with major in Business or Personnel or equivalent experience. Ability to work independently answering correspondence and inquiries. Self directed, problem-solving, positive attitude and professionalism. Ability to deal with figures accurately and provide basic data summarization. Proficiency with Microsoft Office package including Word, Outlook, Power Point and Excel; typing of 60 WPM. Comfortable with learning new technologies, technology savvy. Ability to work with key administrative volunteers and staff. Knowledge and ability to use various audiovisual equipment. Five years of previous office experience and supervision.
